Hello everyone, this is Helen Huang @ Organizing, based in Beijing, China. In order to better learn and practice the YiXiaoNeng Time Management System, after finished publishing 100 Chinese articles, I decided to continue writing and publishing a daily English article in another 100 days based on the "YeWuBin Time Management 100 Episodes" audio program. Today is the 192nd day.
Today's topic is: Control PowerPoint From Your Phone
Today I will introduce the last part of my tools segment - how to control PowerPoint slide presentations using your phone.
PowerPoint is the most frequently used tool used by to create and give presentations to audiences. For example, when I give a lesson, I will project my PowerPoint onto a large screen or TV. Normally I have to control the presentation using my computer or iPad. In addition, many people use a remote and infrared laser pointer that is connected to their computer or to the projector to control it.
What are the advantages and disadvantages of using a remote?
Well, while it is indeed small and thus convenient and easy to carry, you still must remember to bring it with you. And what will you do if you forget to bring it? If we can control PowerPoint using our mobile phone, we do not need to take another device. We don't need to spend energy to maintain and manage the new device.
What's more, by using your phone to control it, you can see a preview of the next slide before your audience sees it. You don't need to think about what you're going to say because there's a way to show that on your phone.
When we talked about time management previously, we talked about how important it is to focus and that true focus means putting away distractions. Where should the focus be when we are giving a lecture or presentation? The audience. The less we focus on other things, the easier it is for us to devote our attention to the audience, so you should use your phone to control your PowerPoint.
Today, the tool I would like to introduce is called Keynote. There is a similar tool for Android, but today I will focus on Apple's Keynote app and software. The Apple phone operating system iOS comes with Keynote installed. I use Keynote to control PowerPoint. In order to use Keynote, you need a mobile phone and an iPad or an Apple computer.
The Setup steps are as follows.
Open Keynote on your iPad or computer, then open a file type that is compatible with Keynote. If you don't have any files, click the "+" button, and create a new file. Open the new file, and you will see a "Wrench" icon in the upper right corner, click it. The click "presentation tool", and you will see the setup item called "Remote".
Now, open Keynote on your phone. The second key on the upper left corner of the main interface is an icon like a mobile phone with an icon that looks like the play button on your DVD player, tap it. Tap "device" on the new interface, and then tap "find device".
Then you can see the name of your mobile phone on the Keynote interface of your iPad. You will also see a link on the right side. Tap that link. There will be a 4-digit number displaying in Keynote on your mobile phone and iPad. After your confirmation, your phone is connected with your iPad. Click the icon "Play". Now you are able to see two contiguous pages of your PowerPoint. If not, click the upper right corner to set it up.
There are several basic functions I like to talk about in the Keynote app: a highlighter, page turning, and you can select landscape mode or portrait mode, and whether to show the next slide on your phone even while the presentation isn't showing it, which is very convenient. If you are a trainer or a business professional who often gives presentations with PowerPoint, this software will be invaluable to you.
For Android there is similar software available that will also control PowerPoint remotely. The Android software is easy to use as well. I hope you find this technique to remotely control your PowerPoint presentations via mobile phone very helpful.
At this time, I have completed the section of my time management training on Tools. I hope it has proven very enlightening to you. Please keep in mind that these are not the only tools out there. There are plenty more that you may find useful for your needs, but I have given you what I have found to be most useful to me and to my students.
The important thing is not only the tool you use, but more importantly, how often and how accurately you use each tool to gain efficiency in your life. You must develop the habit of using the tool or else you will gain nothing from this knowledge.
I have shared various tools with you, including remote presentation handling, flight information and management, handwriting, digital recording and so on. I have used each of these tools extensively over the past few years and they have helped me improve the efficiency of my work and life.
There is such a thing is using too many tools – balance tool usage with repetition and mastery of the procedures. Too much content will lead to lower efficiency, so you have to learn based on your needs. Remember, knowledge alone does not translate into productivity, and neither does possession of a tool or app. The key is how well and how often you use it. Good luck.
Thank you being with me together today. Have a wonderful day!
