Have empathy for a mad person and tell the person you understand and apologize for the problem at hand. Ease their frustration and know that their time is important, and assure them that next time things will be handled differently. If the problem is office or financial related, show proof.
1 - don't take it personally;
2 - Let them vent; An angry patient is gonnna be willing to talk, and you will know when you join the conversation.
3 - Make sure you understand their issue. Make sure that they understand you understand. Too many people jumping in too fast and will actually make things worse.
4 - take immediate action;There is always something that you can do to make the patient happy or at least happier. That something will depend on your practice policies.
5 - Avoid problems going forward. If the complain is from your system, fix your system. Giving patient accurate imformation and changing your billing system.
