Time Management 155 - Get the Ha

Hello everyone, this is Helen Huang @ Organizing, based in Beijing, China. In order to better learn and practice the YiXiaoNeng Time Management System, after finished publishing 100 Chinese articles, I decided to continue writing and publishing a daily English article in another 100 days based on the "YeWuBin Time Management 100 Episodes" audio program. Today is the 155th day.

Today's topic is: Get the Habit of Completing Weekly Reviews

Today, I'll continue discussing the topic of "reflection". Today, though, I'll explain how to reflect back over a period of time. Weekly reviews, monthly reviews and annual reviews are key time periods to reflect over.

Today we'll focus on the weekly review. While you can conduct a weekly review on any day of the week. I suggest doing so on Sunday, Monday or Friday. The weekly review is not only a time to focus on the past week, but also to make plans for the next week.

Staff and students of Yixiaoneng usually conduct their weekly review like this:

First, some time is spent clearing your mind of tasks and putting them in your inboxes.  Then classify the tasks into the schedule and various contextual lists.

Then, before conducting the actual review of the week, look at the schedule and lists to see what scheduled steps have been completed in the past week and what follow-ups and next steps must take place.

Next, read our morning diary for the past week and look back on these experiences.  Think about what could have been improved. Think about what you did well and what you could do better.

Then, check the calendar to look at the schedule for the coming months.  First look at what's directly in front of you, that is in the first month ahead, and then further out, say three months ahead.

This is just like you would do if you were driving. Think about it. Looking out into the distance three months ahead, makes us feel grounded and gives us perspective. It will bring clarity to the things we are doing now in the next week.  Make sure what you're doing in the week ahead aligns with the items you're doing in a month and three months.  In other words, think about the overall direction you're headed when you are driving, that's all in the distance, but focus on what's right in front of you to ensure you get where you are going safely.

Then, after you've done this, open your task list and begin working on your tasks.  Remember, don't rush through your tasks – focus on them, doing them well.  Exercise control over your actions not haste.

Ordinarily it is a good idea to record your tasks in your inbox on a daily basis, but this can be challenging, particularly with items that were put in your inbox in hastily or quickly. Therefore, it is ok to work on these items during the weekly review.  Sometimes working in batch mode like this is a productive way to work.

Assign complex tasks with multiple layers into the appropriate lists by first breaking them down and then assigning them and scheduling them. This will bring clarity and order to your actions.

Remember that the key to success is not in how many things you complete but completing the important things to the best of your ability.

So delete the unimportant tasks, pick out the urgent and important tasks and schedule them and assess the meaning of each task before moving through with the method. Meaning before method.

Focus on the following three things during the weekly review:

1, The Calendar

2, List systems

3, Empty inbox

By now you will begin to become very proficient with your organization and clarification of your tasks. You will become very proficient in actually completing tasks.  I suggest that you remind yourself to look at your dream board and look at your 50,000 meter, life purpose goals in your weekly review to ensure you are on the right path.

Colleagues of Yixiaoneng have a team meeting to discuss their weekly review together.  This helps develop the habits and provides valuable feedback. In that meeting, we'll summarize and share achievements, gains and losses, and experiences over the past week at these meetings.

We also plan and review the schedule for the coming month and plan major projects from the 20,000 meter level. When we have enough control over the plans for the next month, our perspective will shift to plans of the next three months.

You may wonder how we can complete 7 to 10 classes every month? It is all about practicing efficiency and keeping our daily, weekly, and 1-3 month goals in check. The beauty of this habit is that it forces us to plan ahead.
