1. Most Western people like deadlines. When you ask them sth, do add a dealdline, otherwise it's like un-said. Also, try not to use ambiguous timing like "recently" (they will postpone as long as possible). 表达要精准,但语气可以柔和。
2. 发seminar邮件时check: 时间段(星期/年月日/time slot rather than just beginning time)、地点(place\room number)、主题(title/speaker/abstract/bio)、发送(to which list, cc who)。
4. Contact the speaker in advance when he/she will come. Take him/her for a meal/a cup of coffee before the seminar. If time is enough, go to a good place to offer a good impression as a host. When it comes to the bill, if only you and speaker, of course you should take it. But if your big boss is there, and he insists to take it, you should remember to say: Thank you! Next time I'll take it.
5. Before the seminar time slot: check the projector (select "turn on" below the PC monitor), light/sound effect, take some mark pens, prepare some water/coffee for the speaker.
Every time before the event, I was always wondering if it worth the time. Finally it turned out it really worth: (1) I have more time to speak to such senior researchers, either from company or academic. (2) Also the chance to speak to the people who invites the speaker. (3) Make some contribution to the group/community. (4) Better for future contacts with any of them. (5) Learn how to make good presentations (some senior researchers's presenations are really structured and clear): problem, difficulty, baseline methods in literature and their drawacks, proposed method, evaluation (baseline metrics and their problem, proposed metrcis) across methods- datasets-metrcis, error analysis (typical types of errors, the reason of each type of errors, and how difficult to get rid of these errors).
Every time after such kind of academic communication, I realise how little I know and how necessary I should optimize my efficiency again.
These are real career-supported activities. I should take the opportunities to practice and now it's a good stage! It will become easier and easier as time goes along.
